Questions

What is a proforma invoice?
A preview of the invoice you will send: the same seller, buyer, lines, prices and tax, issued before the sale is final. It is used to ask for payment up front, to give a buyer the figures for an import licence or a bank transfer, or to travel with goods through customs.
Is a proforma invoice a real invoice?
No. It is not a bookkeeping record, the buyer cannot reclaim VAT on it, and you do not record it as a sale. PlainPaid prints “This is not a tax invoice” on it, keeps it out of your money summary and CSV export, and gives it its own number series (PRO-0001).
How is it different from an estimate or quote?
An estimate or quote offers a price the client may accept. A proforma comes after they have agreed: it states exactly what the invoice will say, often so they can pay before you deliver.
What happens after the client pays?
Issue the real invoice. Open the proforma and choose Convert to invoice: it copies the client and lines into a new invoice with the next invoice number, and keeps the proforma in My invoices. Mark the invoice paid if the money already arrived.
Can I add a payment link?
Yes. Paste a Stripe, PayPal, MobilePay or bank payment link and it prints with a QR code, so the client can pay the proforma straight away.
